Hi! Every year for our annual event we give out a water bottle, pen, and notebook, so it’s very much expected by our execs and attendees BUT I’m trying to figure out a way to make this more sustainable. Any recs on how to encourage people bring their own water bottles or take notes electronically or something? Would be a nice to have to be able to move the budget, but mostly feels almost like a waste to give the same things each year when we have decent retention
For a conference I worked on a few years ago, we explicitly laid out on the event website & a few of the emails that we were moving towards a more sustainable event, meaning we would no longer give out notebooks or swag bags. We purchased some mini-notepads & kept them at the front desk in case people needed paper urgently (and a few people did ask us if we had any paper for them to jot something down). Generally speaking we didn't find that folks missed any of this at all.

maybe partner with the water bottle company and offer attendees a good discount to get one prior to your event? like a limited edition bottle with your logo or custom one?
I agree on notebooks/pens - not a big loss, I’d be surprised if attendees really expect to have it there. Maybe explore some sort of collaborative whiteboard - Mural? and make it interactive

They are high level and we are looking for a nice regional gift to give them, something they will hold onto. They are from PA. We are from NE/Boston area.
